Short Answer:

Generally  speaking, it is important to understand that there are various ways to  synchronize with QuickBooks, in regards to order data, and processing credit  cards.

     
  1. Downloading data from your gateway into  QuickBooks; and downloading your exported orders from the cart.

  3. As a side note, Intuit (the makers of QuickBooks)  informed us that newer versions of QuickBooks have the ability to process  credit cards directly through QuickBooks.   We are not qualified to detail more of how this feature works.  Please consult your QuickBooks guide, or  contact them. 

 

Detailed Explanation:

     
  1. Within your QuickBooks software (version 2005  and newer) there is a feature to download transactions from your gateway.  This is called “terminal payment download.”  This will work with any merchant account, and  will download a copy of all credit card processing activities.  When using this feature, it will ask you for  your merchant number, etc…
       
    Many people have asked if we will  integrate the cart with QuickBooks.   Intuit has validated our statement that the gateway/merchant account is  the ultimate transaction authority, and trying to integrate the cart directly  with QuickBooks leaves more room for errors in most cases (compared to other  approaches).  For example, if you log  into your gateway, and run a credit card there, or refund a card there, then  there is no way the shopping cart would know of it.  Therefore, updating your QuickBooks from your  merchant account is the best approach to our knowledge.
       
    On the other hand, stores that  accept online checks, money orders, etc… none of this data will be passed to  the gateway, so downloading these orders from the shopping cart may be  required.  You can export your orders  from the manager, and then import them into QuickBooks.  You will need to refer to QuickBooks to learn  how to import an Excel, or CSV file.
